The Pastor’s Guide to Registration
Preparation for Camp
- To help save the camp money for mailing costs, make a copy of each master form. The forms you will need for the future are the following:
- Counselor Training Manual
- Camp Shiloh Volunteer Worker’s Application
- Code of Ethics for Camp Shiloh Volunteer Workers and Covenant
- Camp Registration Forms
- Make a copy of the individual registration (PDF- 2008 Form) forms. You can use these if you run out of regular forms or you want to put additional information on them for your particular church.
- Make a copy of the church registration form (PDF- Junior, Junior High) that will contain all the names of the campers from one church. You might preregister some campers one month and will have to send in another form later on with more campers.
Pastor’s Canteen Report
- As early as April or May set aside some time in a service to promote this year’s camps Show the video of last year’s camp-Call Pastor Fuller and he will put you on the video mailing list. Each church will mail the video to the next church on the list.
- Set up a scholarship fund to help send a needy young person to camp. Possibly take an offering at this service.
- Appeal to adults and young adults to work in camp. If you have someone interested, call one of the deans and ask what positions are open. We usually need adult counselors, junior counselors (a high schooler), and workers in the kitchen and grounds.
- Give them the “Camp Shiloh Volunteer Worker’s Application” to fill out. Please mail completed application to the dean of the camp.
- Also give them the “Code of Ethics for Camp Shiloh Volunteer Workers.”
- By June, mail or personally give registration forms to as many prospective campers as you can. Pray for all those who have received forms that they will be able to go to camp and that they will take the next step spiritually in their life.
Preregistration for Camp
- Campers must turn their individual forms and money into the pastor or youth pastor (or a designated person).
- These forms must be postmarked and sent to:

by June 19 for both camps along with the “Camp Registration Form.” Pastors, please list all the campers, the amount sent, and the amount due. Make a copy of this completed form and put in your packet to bring on the day of camp. - Properly preregistered campers will have an extra $5 placed on their canteen cards by the Camp Secretary.
- If you have registrations that come in a week before camp, call the Camp Secretary to see if there is still room.
Camp Workers’ Training Day
(if you have workers from your church, a video and training materials will be mailed to you)
- Show the Worker’s video. This video is aprox. 32 minutes long.
- Give a copy of the training materials to each worker.
- Workers must be covered by the insurance policy of your church or their own individual policy.
Camp Information Day
- Approximately ten days to two weeks before camp hold a meeting with all campers, parents, and workers.
- Identify items to pack and leave at home
- Discuss clothing guidelines listed on the Camp Brochure.
- Tell the parents to mark all their children’s clothes and belongings.
- Remind the parents that if they have preregistered their children on time that they will receive a $5 credit on their canteen card.
- Inform the parents that they must provide the primary insurance coverage. The church is responsible after the parents. Our camp takes out a policy to cover campers (only) for accidents (only) not covered by the parent’s or church’s policy. We have an experienced nurse on the grounds at all times.
Day of Camp
- At the church, collect the remaining camp fees. Mark “pd” on your copy of the “Camp Registration Form.”
- Collect all the canteen money and mark the amount on the “Pastor’s Canteen Report.”
- Explain to the campers that the safest place for their money is the canteen. Obviously, some parents will write one check for registration and canteen. Just separate the amounts on the correct forms. When you present the forms to the Camp Secretary, he will be only adding the “Total amounts due” from each form.
- Arrive between 3-4 PM. No earlier please.
- Cabin lists and a map will be posted by the doors to the dining hall. Only the dean can change cabin assignments. Junior counselors will be available to help your campers find the right cabins. Have them take their luggage to the cabin.
- Have them bring any medicine to the dining hall and give to the camp nurse.
- Pastors, bring your copies of the “Camp Registration Forms” and the “Pastor’s Canteen Report” and the campers money to the Camp Secretary inside the Dining Hall. Pastors should be the only ones in the registration line. Parents who bring their campers should give their money to you or your designated person earlier.
- Campers can purchase camp T-shirts inside the Dining Hall.
Last Day of Camp
- Money not used in canteen will be given to each camper at the breakfast table.
- You can pick up your campers at 5:00 pm Friday for Junior Camp and 9:30 am Saturday for Junior High Camp.
After Camp
- Camp decisions will be mailed to each church. Would you make every effort to follow-up on these decisions.
- Lost and Found will be located at Grace Baptist Church in Mankato. They will keep the items for two weeks.
